Last updated October 27, 2026

The WVIC Challenge platform is run by the Wisconsin Venture Innovation Challenge (WVIC) organizers to manage teams, submissions, judging, and community activity for the competition. This page explains what we collect, who can see it, and how we protect it.

The platform is in beta for its first season. We'll update this page as features are added, and the date above shows the latest version.

What we collect

  • Account details: your email address, and the details you add to your profile: your name, your connection to the university, your program and clubs or job title and company, your LinkedIn URL, and an optional headshot.
  • Team information: which team you belong to, your role on it, and invitations you send or receive.
  • Company profile: the public and private fields your team fills in, including your logo, and a history of changes.
  • Submissions: files and links your team uploads to its data room, with who uploaded them and when.
  • Supporting materials: optional files and links your team adds to its data room beyond the milestone requirements.
  • Customer interview logs: for each interview your team records, the customer's name, company, title, optional email address, how and when you talked, your notes, and any quote you add. Only add details the customer agreed to share.
  • Judging records: judges' scores and comments, and their assignments.
  • Activity records: sign-in times, and a log of administrative actions such as role changes, team changes, and account archiving.
  • Technical data: our hosting providers keep standard request logs, such as IP address and browser type, to run and secure the service.

We don't collect passwords. You sign in with a one-time link sent to your email. We don't use advertising or analytics trackers. The only cookies are the ones that keep you signed in.

Who can see what

  • Public company profile fields (company name, logo, pitch, problem, solution, industry tags, stage) are public and may appear on team pages, galleries, and at events.
  • Your profile (name, university connection, program, clubs, job title, company, LinkedIn URL) and team rosters are visible to other signed-in users. Your email address is not shown to other participants. Admins, and captains who invite you, can see it.
  • Your headshot, if you add one, appears on your team page. It's stored at an unlisted web address that only the platform links to, so anyone who has that address can view the image. You can remove it from your profile at any time.
  • Private company profile fields and data room submissions are visible only to your team, the judges assigned to your team for that milestone, and admins. Files are never public. Each download uses a link that expires after one minute.
  • Supporting materials are visible to your team, admins, and any judge assigned to your team.
  • Customer email addresses in interview logs are visible only to your team and admins, not to judges.
  • Scores and judge comments are visible to admins and to the judge who wrote them. Teams see feedback once it is released, without judge names. Judges don't see each other's scores.
  • Admins (the WVIC Executive Leadership Team) can see all platform data so they can run the competition.

How we use it

We use this information only to run the competition: to form teams, collect and review submissions, run judging, announce results, send you competition emails (sign-in links, invitations, and reminders), and keep the platform secure. We don't sell your information or share it for marketing.

Advisory AI review

Admins can choose to run an advisory AI review of a milestone's submissions. When they do, the text of your team's submitted files and interview logs (without customers' email addresses) and the milestone's rubric are sent to Anthropic's Claude API to produce notes for judges. These notes are advisory only. They never set a score or decide who advances. Anthropic processes this data as our service provider and does not use it to train its models.

Service providers

We rely on a small number of providers, who process data only to run the service for us:

  • Supabase: database, sign-in, and file storage, hosted in the United States.
  • Vercel: website hosting.
  • Resend: email delivery.
  • Anthropic: the advisory AI review described above, only when an admin runs it.

How we protect your data

  • All traffic uses HTTPS, and data is encrypted at rest by our database and storage provider.
  • Access rules are enforced by the database itself, so an error in a page can't show one team's private files to another team or to a judge who isn't assigned.
  • Automated tests check these access rules, for example that a participant can't read another team's files, every time the code changes.
  • Data room files live in private storage and are served only through short-lived links.
  • Sign-in uses one-time email links, so there are no passwords to leak or reuse.
  • Administrative actions are recorded in an audit log.

No online service can guarantee complete security, so please upload only what you're comfortable sharing with judges and organizers. If you notice a possible security issue, email the WVIC organizers at hello@wisconsin.ventures and please don't test it against other people's data.

How long we keep it

We keep competition records, including submissions and scores, after the competition ends so results can be reviewed and the program can improve. You can archive your account from your profile at any time. Archiving signs you out, removes you from your team, and stops your access, but keeps your past submissions with your team's records.

Your choices

  • You can view and edit your profile at any time.
  • You can archive your account yourself, or ask an admin to restore it later.
  • To get a copy of your information, correct something you can't edit, or ask that it be deleted, email the WVIC organizers at hello@wisconsin.ventures.

The platform is meant for university students, alumni, sponsors, and community members, and is not directed to children under 13.

Changes and questions

If we change this page in a meaningful way, we'll update the date at the top. For questions, email the WVIC organizers at hello@wisconsin.ventures. See also our Terms of Service.
